Tags are one of the fastest ways to group and organize your contacts in Rally.
Think of tags as lists, either static (set and forget) or dynamic (e.g., based on contact actions). You can use tags to segment by interests, keywords, events, donors, volunteers, campaigns, and more.
There are four different ways to apply tags:
1. Add Tags Automatically Through a Keyword Workflow
If someone texts in a keyword (like GOLF, VOLUNTEER, or DONATE), you can automatically apply a tag to anyone who triggers that workflow.
How it works:
Go to Workflows.
Select or create a workflow.
Add the tag name in the Tag field when setting up the workflow.
Now every time someone texts that keyword, they are tagged automatically. This is the easiest way to group contacts by interest or action without touching data manually.
2. Tag Existing Contacts in the Platform
If contacts are already in your system, you can tag them at any time:
Go to Contacts.
Use search or filter by:
Existing tags
Name
Phone number
Campaign
Workflow (Keyword)
Or Advanced Filter (Funnel icon)
Select the contacts you want to update.
Choose Add Tag and apply the tag you want.
You can also remove tags the same way.
This is perfect for:
Tagging existing groups
Updating supporter information
Bulk-organizing contacts after an event
3. Add Tags When Importing a Spreadsheet
If you’re importing contacts, you can apply tags using your CSV.
Just add a column called Tags in your spreadsheet. Example:
First_Name | Phone | Tags |
John | 555-111-2222 | DONOR, GOLF |
Mary | 555-222-3333 | VOLUNTEER |
Import your file, and Rally automatically assigns the tags.
Pro Tip: You can include multiple tags in the same column by separating them with commas.
4. Tags Automatically Through Integrations
Some Rally integrations allow you to automatically tag contacts based on the source system or trigger event.
Examples:
HubSpot
Salesforce
Fundraise Up
Zapier
Other CRM/marketing automation tools
Integrations can apply tags based on:
origin/source (e.g., “Donor on GoFundMe Pro Campaign X”)
behavior (donor, volunteer, subscriber)
custom field values
campaign or form used
This means tags are applied for you behind the scenes—no manual work required.
Managing and Removing Tags
You can also view and manage all tags from a single place:
Go to Admin → Tags
Select any tag to edit, rename, or delete it
Deleting a tag removes it from contacts but does not delete the contacts themselves.
Quick Recap
You can apply tags in Rally four ways:
Workflow Keyword Trigger — automatic tagging when someone texts in
Inside Contacts — search, filter, select, and tag manually
Spreadsheet Import — use a
Tagscolumn when importingAutomatically through integrations
Tagging is one of the fastest ways to segment your audience for campaigns, thank-you messages, donor engagement, and targeted outreach.
